Conference Fees

Deposit Schedule

A deposit is calculated on the minimum number of attendees' housing and board charges. Five percent (non-refundable) is due by the third Friday in January, with an additional 35 percent due approximately one month from the event. Modlin Center for the Arts deposit is added to these amounts, based on 5 percent and 35 percent of total estimated charges.

Virginia Sales Tax

Among the items that a 5 percent Virginia sales tax will be applied to include: meals, lodging, lost keys, extra linen, and facility rentals, unless a letter from the Commonwealth of Virginia's Department of Taxation is presented stating which charges are specifically exempt.

Food Tax

A 6 percent City or Richmond food tax will be applied to dining hall meals as well as any catered events. There is no exemption to this tax.

Commuter Fee

$15 per person for attendees not staying on-campus. This is a one-time charge.


Daily access passes can be pre-arranged at the cost of $5 per person for the Weinstein Center for Recreation and Wellness. You must pre-arrange for daily passes.

Lost Key

$40 charged for each key lost.

Processing Fee

Based on projected attendance of:

  • Up to 100 $150
  • 101-250 $250
  • 251-500 $350
  • 501-1,000 $450
  • Over 1,000 $500


A final invoice covering all campus charges will be sent about two weeks after the program closes. You have five days to challenge these charges. Payment is due within fourteen (14) days of receipt of the invoice.
