Event Policies

The following regulations govern the use of all Events Office facilities:

  • Open flames, including candles, are prohibited.
  • Alcoholic beverages are permitted only in approved locations, during approved times. See Alcohol Policy for locations and further information.
  • Events with alcohol present may require police coverage––the Events Office will arrange for this coverage.
  • Events sponsored by off-campus/nonaffiliated groups are required to provide adequate insurance.
  • Furniture and equipment should not be removed from any reserved space. Any equipment or furniture missing will be charged to the sponsoring organization.
  • Damages to any facility or equipment contained in the facility during an event will be charged to the sponsoring organization.
  • In the event that damages are sustained or policies are not followed, the event may be terminated and future requests of the sponsoring organization may be denied.
  • Informational tables in the hallway of the Commons may be reserved for three days per week per organization.
  • The Events Office and the University will not be responsible for theft or damage to any items left in the facilities during, after, or prior to an event.
  • All outside organizations or groups who are not sponsored by a recognized University Department or Organization must provide a Certificate of Insurance for $2 million listing the University of Richmond as an "additionally insured."
  • If a student group wishes to view a movie, approval from their advisor must be obtained and given to the Events Office. Due to copyright laws any movie that is shown outside of a class must have this approval. See our Film Screening Policy.
  • For large public events, police coverage may be required to assist with parking and traffic control. The Events Office will arrange for this coverage.
  • Please see Tailgating Policies for information regarding both home team and visiting team tailgating.
  • Outdoor events must end by 11 p.m. due to the City and County Noise Ordinance.
  • Groups must adhere to the reservation and event times listed on the confirmation. Groups may not enter before the scheduled time or remain in the room after the scheduled time.

In addition to the above regulations all University of Richmond policies must be adhered to as listed in the Student Handbook.
